Can Acctual handle monthly retainers and recurring invoices?

Yes, this is what most agencies use it for. You build a template, set a cadence and the invoices go out on their own. Scope changes mid-quarter? Update the template once and the next cycle picks up the new line items. You’re not copying last month’s invoice into this month and fiddling with numbers. Most agency invoicing software finds a way to charge you extra for recurring billing. Seat fees, per-subscription fees, per-invoice fees above some threshold. Acctual doesn’t do any of that. Same 2.7% on cards and 1% on ACH whether you send 5 retainers a month or 80.

Can we pass the processing fees on to our clients?

Yes. Toggle it on per invoice or set it as the default for a specific client. The fee shows up as its own line on the invoice so the client sees exactly what it is. On a $20k invoice paid by card, that’s $540 in margin you keep instead of eating. Most agencies pass fees on card payments and absorb the 1% on ACH (or pass that too, your call). What usually happens is clients see the card surcharge, switch to ACH, and you both come out ahead. Bank transfers settle same day and 1% is well under what they’d pay on a wire. For retainer clients, some agencies just bake the fee into the retainer price instead of surcharging line by line. Either way works. Once it’s set at the client level you don’t have to think about it again.

What about chasing late payments? We waste hours on net-30 follow ups.

Acctual sends the reminders for you. You set the schedule. Three days before due, on the due date, a week past, whatever works for your clients. Reminders go out from your domain with the original invoice attached. They don’t read like dunning emails. Honestly, most late payment isn’t about a client refusing to pay. The invoice landed in the wrong inbox. AP person quit. Got buried under 80 other invoices. So Acctual lets you put multiple recipients on every invoice. PM, finance, owner, whoever. That alone fixes more late payment problems than any reminder schedule. When a client really is dragging, you can see when they opened the invoice and when they last loaded the payment page. Useful for the awkward checking in call.

Do you support branded invoices? Our agency identity matters to clients.

Yes. Drop in your logo, set your brand colors and that’s what shows up on the invoice and the payment page. The email goes from your address. Replies come back to you. Acctual isn’t on the subject line or anywhere obvious in the message. Most clients don’t even realize Acctual is the rail underneath. This sounds minor until you’ve sent a $25k invoice and watched a client get confused about who they’re paying. For agencies with brand equity, white labeling isn’t optional. It’s why a lot of agency billing software ends up in the discard pile after the first send.

We’re an ad agency that passes media spend through to clients. Can Acctual handle that?

Yes. This is one of the bigger reasons ad agencies pick Acctual over generic invoicing tools. Most advertising agency billing software wants to bundle media into a single line item. Bad for everyone. Clients get suspicious. Bookkeepers can’t split revenue from reimbursement. And if you ever get audited, you’re explaining a mystery line item to someone with subpoena power. Acctual lets you itemize media by platform (Meta, Google, TikTok, programmatic) separately from your agency fee or markup. The client sees what their money actually went to. Your books stay clean on the back end. For big media buys, invoice the platform spend on its own and have the client pay it by bank transfer at 1%. Card fees on an $80k buy aren’t worth it. Some shops bill platform spend on net-15 and the agency fee on net-30 so cash flow lines up. Acctual supports different terms per invoice. If your model is percent of spend (say 15% of media as the agency line), the template handles that natively. That’s the kind of structure most ad agency billing software wasn’t really designed for.

Is Acctual a fit for an SEO agency?

Yes. SEO billing has a weird shape. Long retainers that go on for years with the same client, plus the occasional one off (audit, content sprint, technical migration) that doesn’t fit the retainer. Most billing software for SEO agency work treats those as separate worlds, which is annoying because you want to see a client’s full history in one place. In Acctual, retainers and one off invoices live under the same client record. Lifetime billings, average days to pay, current balance. One view. Performance bonuses get their own invoice on top of the retainer. So if a client agreed to a bonus when rankings hit page one, that’s its own line. Clean paper trail and no retainer renegotiation every time results move. Different invoices can have different terms too. Net-15 on retainers, net-30 on project work is a common setup. How long does setup actually take? Same day for most agencies. The slower pieces are bank account verification (instant for most US banks, one or two days if yours needs ACH micro deposits) and importing your client list. If you’re coming from FreshBooks, Bill, Stripe Invoicing or a spreadsheet, you can pull in open invoices too. Past due balances stay past due. Payment terms carry over. The client gets one payment link for whatever’s still outstanding. No setup calls. No implementation fees. Support is staffed by people who’ve actually billed clients at an agency, so most answers come back the same day.

What reporting do we get on outstanding invoices and cash flow?

Aging report by client and across the whole book (current, 1-30, 31-60, 61-90, 90+). Filter by client, project, currency or status. The dashboard surfaces expected cash for the next 30 and 60 days based on what’s been sent. Usually the number agency owners are looking for when payroll is coming up. Per client, you also get average days to pay. Who pays fast, who drags. Useful when you’re deciding whether to take on more work from a slow client or quote them a higher rate to cover the float. Everything exports to CSV. Or skip the export and give your bookkeeper their own view in QuickBooks or Xero. The data syncs there automatically.

What happens if a client disputes a charge or wants a refund?

Refunds are one click. Full, partial, both work the same way. Card refunds land back on the client’s card in 5-7 business days. The invoice updates so your books show the net position. The refund syncs to QuickBooks or Xero as a separate transaction tied to the original. Disputes don’t happen often on agency invoices. The work is contracted, clients know what they’re paying for, there’s a paper trail. When they do come up, you get a window to respond with documentation (SOW, deliverables, email approvals) and Acctual handles the back and forth with the card network. For clients who’d rather pay in installments than dispute, you can split an invoice into a payment schedule before sending. Two or three payments over 60 days is normal for bigger project work.
